Conference Coordinator, Festival Production Assistant, Marketing Assistant

Music Nova Scotia is in the process of arranging another series of contract hires under the provincial Job Creation Partnerships (JCP) program. The JCP program is designed to create positions that will provide unemployed, insured participants with opportunities to gain meaningful work experience.
To be eligible for participation in JCP, you must be an unemployed individual ("insured participant") as defined by Section 58 of the Employment Insurance Act. Job Title: Conference Coordinator
Location: Halifax, NS
Hours: 9 months – 37.5 hours weekly, with some evenings and weekends
Primary Duties & Responsibilities:
The Conference Coordinator will provide support for the conference component of Molson Canadian Nova Scotia Music Week. Under the supervision and direction of the Education & Events Coordinator, the Conference Coordinator will work independently and will liaise with the event Chairs, committee members and stakeholders to deliver the project. This person's main focus will be the delivery of high quality educational programming and registration.
Primary duties:
- Assist in the coordination of seminars, workshops and all other educational programming
- Contribute to the preparation of promotional materials
- Participate in registration campaigns
- Maintain accurate registration, contact and transportation databases
- Monitor on-line registration
- Prepare registration reports as requested
- Update website with conference related information
- Coordinate and prepare daily itineraries for special guests
- Prepare registration packages for participants, especially special guests
- Set-up and operate the registration desk on site
- Deliver payments to special guests
- Conduct and enter data from evaluations from conference participants
Additional duties:
- Participate in all project committee meetings
- Adhere to the project's critical path and update it weekly
- As requested, attend project activities and respond to any conference inquiries on site during the events
- Provide assistance in the distribution of NSMW promotional materials both prior to and during the event
- Assist in the project's final report
- Instruct volunteers for any conference related activities
- Attend all professional development educational workshops Music Nova Scotia produces during employment period
Qualifications:
- Strong organizational skills
- Proficiency in Word, Excel and Powerpoint
- Ability to work well in groups
- Comfortable in a fast-paced environment
- Previous event experience an asset

Job Title: Festival Production Assistant (PA)
Location: Halifax, NS
Hours: 9 months – 37.5 hours weekly, with some evenings and weekends
Primary Duties & Responsibilities:
The Production Assistant (PA) will provide logistical support for the performance component of Molson Canadian Nova Scotia Music Week. Under the supervision and direction of the Education and Events Coordinator, the PA will work independently, and will liaise with the event Chairs, committee members and stakeholders to deliver the project. This person's main focus will be assisting with the production of all performance nights, including the music awards show, and artist relations.
Primary duties:
- Assist in the production of all performance nights and music awards show
- Maintain accurate contact, biographical and production information for artists/groups
- Assist with the recruitment of multi-genre and regional artists and groups
- Prepare submissions for jury meetings
- Contribute to the preparation of promotional materials
- Update website with concert related information
- Communicate registration needs - including delegate pass information - to the Education and Events Coordinator
- Deliver payments to artists/groups
- Assist with stage management for both music and industry awards shows
- Conduct evaluations and record the resulting data

Job Title: Marketing Assistant
Location: Halifax, NS

Primary Duties & Responsibilities:
The Marketing Assistant will provide support for the marketing and promotions component of Molson Canadian Nova Scotia Music Week. Under the supervision and direction of the Marketing, Communications and Membership Coordinator, the Marketing Assistant will work both independently and in tandem with the event Chair, committee members and stakeholders to deliver the project. This person's main focus will be assisting in the delivery of high-quality marketing strategy and campaign.
Primary duties:
- Market research
- Booking radio and print ads
- Assist in creation of advertising campaigns
- Website and social media updating
- Coordination of event signage
- Creative coordination of event program guide
- Production coordination of all event collateral
- Local host community street team leader
- Website-based advertising coordination
- On-site event partnership fulfillment
Additional duties:
- Participate in all project committee meetings
- Adhere to the project's critical path and update it weekly
- As requested, attend project activities and respond to any event inquiries on site during the events
- Provide assistance in the distribution of NSMW promotional materials prior to and on site
- Assist in the project's final report
- Instruct volunteers for any promotion related activities

Qualifications:
