Music Nova Scotia is excited to announce the following contract positions are open for Nova Scotia Music Week 2024:

PLEASE NOTE: These are six-month-long contracts offered as part of the Job Creation Partnerships program of the Government of Nova Scotia.

To be eligible for participation in Job Creation Partnerships, you must be eligible for a Labour Market Development Agreement (LMDA). To be LMDA eligible you must meet one of the following:

  • have a current Employment Insurance (EI) claim

  • have had an EI claim that ended within the last 60 months

  • have received benefits under the EI emergency response benefit within the previous 60 months

  • have been employed with gross insurable earnings of $2000 or higher annually, in at least 5 of the last 10 years

You must also have been previously attached to the labour force for a minimum of 24 months and your application will be assessed for Labour Force Attachment (LFA).

LFA is reviewed by considering whether the applicant has been fully participating in the labour market. If recently a student, it also assesses whether the individual has joined the labour force and had employment during that period prior to accessing this program.

    Job Description:

    The Conference & Delegate Liaison will provide support for the conference component of Nova Scotia Music Week 2024. Under the supervision and direction of the Education & Investment Program Manager and the Executive Director, the Conference & Delegate Liaison will work independently, and liaise with the host committee members and stakeholders to deliver the project. This person's main focus will be the fulfillment of travel and hospitality requirements for our international and national delegates. The Conference & Delegate Liaison will support the Education & Investment Program Manager in executing tasks on the ground and in the lead-up of the event.

    Primary duties:

    • Assist in the coordination of NSMW conference seminars and workshops

    • Maintain accurate registration, contact and transportation databases

    • Monitor delegate registration

    • Conduct and enter data from evaluations from conference participants

    • Communicate with international delegates regarding their travel needs

    • Confirm availability and convey tentative itinerary to respective delegate for approval

    • Coordinate and prepare daily itineraries for guest delegates

    • Review travel-associated invoices as well as statements for accuracy for Accounts Payable

    Additional duties:

    • Adhere to the project's critical path and update it weekly

    • Prepare registration reports as requested

    • Prepare travel reports as requested

    • As requested, attend project activities and respond to any conference inquiries onsite during the events

    • Provide assistance in the distribution of NSMW promotional materials prior to the event and on-site

    • Instruct volunteers for any conference-related activities

    • Support gear load in (Halifax) and out (Wolfville) upon arrival at NSMW, and again upon return following the event

    • If in possession of a valid driver’s license, drive a rental van with gear to the event

    • Contribute to the project's final report

    Required Qualifications:

    • Strong organizational skills

    • Attention to detail

    • Strong literacy skills (reading, writing, comprehension, spelling, and grammar)

    • Strong proficiency in Google Suite for Business

    • Strong interpersonal skills, especially conflict resolution

    • Must be available to attend NSMW 2024 in person (Wolfville) November 4 - 11, 2024.

    Recommended Qualifications:

    • Event/conference production/management experience

    • Experience in human resources or hospitality

    • Music industry experience

    • Non-profit experience

    • Ability to work well in groups

    • Oversee conference room(s)

    • Ensure the conference stays on time

    • Liaise with NSMW delegates before and during NSMW 2024

    Job Description:

    The Festival Production Assistant will provide logistic support for the showcasing component of Nova Scotia Music Week 2024. Under the supervision and direction of the Events and Strategic Development Manager, the Festival Production Assistant will work independently and liaise with NSMW’s Technical Director and host committee members/stakeholders to deliver the project. This person's main focus will be assisting with the production of all showcasing performances.

    Primary duties:

    • Update the critical path for the event, update regularly, and assign tasks to team members based on deliverables

    • Assist in the production of all showcasing performances

    • Maintain accurate contact, biographical, and production information for artists/groups

    • Prepare submissions for jury meetings

    • Liaise with the Festival Technical Director to advance all production details with showcasing artists

    • Oversee artist contracting

    • Oversee venue contracting

    • Communicate artist registration needs, including delegate pass information, to the Box Office Liaison

    Additional duties:

    • As requested, attend project activities and respond to any showcasing inquiries on-site during the events

    • Instruct volunteers for any festival-related activities

    • Assist in the distribution of NSMW promotional materials in advance and on-site

    • Ensure partner banners/digital recognition are present for all sponsored stages in relation to the contract

    • Support gear load in (Halifax) and out (Wolfville) upon arrival at NSMW, and again upon return following the event

    • If in possession of a valid driver’s license, drive a rental van with gear to the event

    • Contribute to the project's final report

    Required Qualifications:

    • Ensure production crew rooms are represented in the master rooming list

    • Liaise with venues

    November

    • Oversee all stages during the event

    • Support other NSMW staff as needed

    • Ensure sponsors are represented at all stages

    • Music Nova Scotia Award show production assistant

    • Write contribution to the final report

This person's main focus will be assisting in the delivery of a high-quality marketing strategy and campaign. The role will also support in the research and creation of pitch decks and liaising with sponsors of NSMW 2024.

    Primary duties:

    • Adhere to the project's critical path and update it weekly

    • As requested, attend project activities and respond to any event inquiries on-site during the events

    • Provide assistance in the distribution of NSMW promotional materials prior to and on-site

    • Instruct volunteers for any promotion-related activities

    • Support gear load in (Halifax) and out (Wolfville) upon arrival at NSMW, and again upon return following the event

    • If in possession of a valid driver’s license, drive a rental van with gear to the event

    • Distribution coordination of event program guide

    • Provide host community street team with collateral required for street team campaign

    • Distribution coordination of event posters

    • Facilitate the activation of the host community pageantry plan

    November

    • Coordinate all event signage inventory for distribution and display on-site

    • Assist with all partnership activation activities on-site

    • Overall support on-site during the event when needed

    • Support coordination of on-site media interviews with participating artists

    • Assist in the delivery of press releases and information bulletins on-site

    • Manage and update all social media and web information during the event

    • Write contribution to the final report

    Job Description:

    The Volunteer and Box Office Coordinator will provide support for the volunteer and box office components of Nova Scotia Music Week 2024. Under the supervision and direction of the Executive Director and Events and Strategic Development Manager, the Volunteer and Box Office Coordinator will work independently and liaise with the host committee volunteer lead and other stakeholders to deliver the project. This person's main focus will be outreach and coordination of the NSMW volunteer community (100+ volunteers), and the coordination of the box office/registration desk leading up to and on the ground at NSMW.

    Primary duties:

    • Develop a recruitment strategy to engage 150+ volunteers

    • Schedule and manage all volunteer activities

    • Raise awareness and engage the community by engaging other volunteer organizations and community groups

    • Work with the Host Committee Volunteer Lead to determine specific areas of volunteer expertise and recruit accordingly

    • Manage volunteer general and specific inquiries, including assistance with volunteer database software

    • Work closely with the Host Committee on-site to assist with volunteer training, rescheduling, and overall management, as required

    • Work with the Volunteer Manager to coordinate food and beverage needs for the volunteer center, off-site venues, and the volunteer orientation, working within the approved budget and with designated partners

    • Performing other duties as may be required by the MNS Management team

    • Manage registration database

    • Set up and manage the box office on the ground of NSMW 2024

    Additional duties:

    • Participate in all project committee meetings

    • Meet with the Host Committee Volunteer Manager

    • Update volunteer call-out templates

    • Work with the MNS team to distribute call for volunteers

    July

    • Work with the MNS team to secure volunteer orientation space

    • Start processing and accepting volunteer applications

    • Begin registration list

    • Meet with Ticketmaster for on-the-ground training, review registration list best practices

    • Study 2023 volunteer schedule and final reports

    August/September

    • Continue processing applications

    • Open call to sign up for shifts

    • Confirm volunteer benefits

    • Update volunteer waiver and handbook

    • Gather registration details from the Host Committee

    • Food and bev booked for Volunteer Orientation

    • Support ordering of volunteer shirts

    October

    • Support COVID-19 policy creation and dissemination (if needed)

    • Update shift schedules based on programming changes

    • Additional volunteer recruitment/callouts in association with the Host Committee Volunteer Manager

    • Prepare registration passes

    • Communication around the volunteer orientation event

    • Communicate with the Host Committee Transport Coordinator to plan transportation needs and volunteer shifts

    November

    • Co-lead Volunteer Orientation

    • Ensure MNS office space and storage space are well-equipped

    • Supervise registration desk/box office

    • Daily volunteer emails with additional shift opportunities and other updates

    • Write contribution to the final report

    • Compile all forms, etc. for event file/binder
