Music Nova Scotia is a not-for-profit provincial industry association that encourages and supports the creation, development, growth, and promotion of Nova Scotia’s music industry by providing education, information, and resources to its members; by advocating for the industry to all levels of government and private sector; and by promoting the export of Nova Scotia music regionally, nationally, and internationally.

Position Overview


The Finance Officer is responsible for overseeing the day-to-day financial operations of Music Nova Scotia, ensuring accurate record-keeping, compliance with regulatory requirements, and maintaining financial integrity. In addition to standard bookkeeping duties, this role involves supporting the administration of Music Nova Scotia’s grant programs, including tracking grant disbursements and assisting with reporting requirements.

Key Responsibilities:
General Financial Management:
  • Maintain accurate financial records using Xero.
  • Process accounts payable and receivable, ensuring timely payments and invoicing.
  • Prepare monthly financial reports for the Executive Director and Board of Directors.
  • Manage payroll and associated remittances, including T4s and T4As.
  • Prepare and file HST and other required government remittances.
  • Reconcile bank accounts, credit card statements, and other financial records.
  • Assist with annual budgeting and forecasting processes.
  • Work closely with external accountants during the annual financial review as part of the Annual General Meeting. 
  • Provide financials for the Annual Report.
  • Support Executive Director when creating budgets for grant applications. 
  • Compile expenses and final reconciliation in conjunction with final reports for grants from FACTOR, the Atlantic Canada Opportunities Agency, Halifax Regional Municipality, and more.
Grant Administrative Support:
  • Track incoming and outgoing grant funds, ensuring all disbursements align with approved budgets.
  • Support maintenance of detailed records of grant transactions, ensuring compliance with program guidelines.
  • Assist in preparing financial reports and budgets for grant funders and stakeholders.
  • Provide support to grant recipients by answering finance-related inquiries (e.g., reimbursement processes).
Compliance and Reporting:
  • Ensure compliance with non-profit financial management regulations and grant funder requirements.
  • Assist with grant audits and program evaluations by providing accurate financial data.
  • Keep informed of best practices in non-profit financial management and granting processes.
Administrative Support:
  • Work closely with the Executive Director to implement financial policies and procedures.
  • Assist in creating and maintaining financial policies specific to Music Nova Scotia’s granting operations.
  • Provide input on financial matters during staff meetings and planning sessions.
  • Support refund requests and other troubleshooting for membership enrollment.
Nova Scotia Music Week:
  • Work with Executive Director and Events & Strategic Development Manager to create the budget yearly for the event. 
  • Create bi-weekly budget updates.
  • Invoice sponsors. 
  • Order cash for per diems, petty cash, and floats.
  • Pay artists via direct deposit nightly during the event.
Qualifications and Skills:
Education:

Diploma or degree in accounting, bookkeeping, or related field (or equivalent experience).

Experience:

Minimum 2-3 years of bookkeeping or financial management experience, ideally in a non-profit environment.

Experience working with grant funding programs is a strong asset.

Technical Skills:
  • Proficiency in accounting software (ideally Xero, or programs like QuickBooks).
  • Strong skills in Google Suite for Business, Stripe, and other financial management tools.
Knowledge:
  • Understanding of non-profit financial management, including government reporting requirements.
  • Familiarity with grant processes and funding cycles.
Attributes:
  • Highly organized with excellent attention to detail.
  • Strong communication skills, both verbal and written.
  • Ability to work independently and as part of a small team.
  • Problem-solving mindset with a proactive approach to tasks.
Working Conditions
  • Hours: Part-time position (10-15 hours per week). Some evening or weekend work may be required during events.
  • Location: Hybrid work environment with both in-office and remote work options. Must be based in HRM.
  • Compensation: Hourly rate commensurate with experience.
